About The Job
As Executive Assistant / Office Admin, you are the glue that holds everything together.  You are the oil that keeps the engine running. You support the whole office, and in particular, the C-Suite, so that the whole company can grow and thrive. It is your job to keep everyone on task, and to turn high-level ideas into actionable items. You always have a sense of what’s going on in every little nook and cranny of the organization.

Responsibilities
Office Admin

  • Take ownership of maintaining a comfortable and productive physical work environment
  • Ensure the office is fully stocked with office supplies
  • Manage annual filing of permits and licenses
  • Assist sales team with marketing material prep
  • Answer and appropriately route calls
  • Clean office weekly
  • Onboard new vendors
  • File and organize receiving paperwork for the Operations team
  • Assist in recruiting and orienting new employees
  • Support payroll, benefits administration and record keeping
  • Check and send snail mail
  • Generally support the company in any way that is needed

Executive Assistant

  • Serve as informal eyes and ears of CEO to spot opportunities to make the organization stronger or address needs
  •  Help keep CEO and C-Suite organized and assist in pulling up project timelines for all open projects
  • Serve as gatekeeper for C-Suite on a daily basis to ensure urgent matters get prioritized and less important matters get de-prioritized
  • Manage CEO and C-Suite’s calendar and assist in scheduling meetings and events
  • Assist in anything in the CEO and C-suite’s professional or personal life that will allow the C-Suite to focus on their core duties of running a high-growth company
  •  Occasionally shadow the CEO, taking notes in meetings and sending out notes and action items to all the meeting participants

About You

  • Superstar organizer who can both rally the troops, and keep track of the minute details of any project
  • Ability to problem-solve and think on your feet (A.K.A. a mental juggler)
  • You anticipate people’s needs before they do
  • You keep projects moving forward – whether it’s organizing a friend’s birthday party or rolling out a new product for a company
  • You have a knack for keeping track of everything, all at once
  • You enjoy being the taskmaster in a group
  • Flawless written and oral communication skills
  • Highly organized and strong attention to detail
  • Proficient in modern communication and project management software
  • 60+ WPM typing speed
  • Excels at independent, unsupervised work
  • A passion for changing the food system

Preferred

  • Experience as an Executive Assistant/Office Admin
  • Experience in a high-growth, venture-backed company
  • Basic accounting experience

Details of position
This position reports to the Chief Executive Officer. Full-time exempt position. Ideal start date is mid-late February. Salary and employee stock options commensurate with experience. Competitive benefits package. Position is based out of our Emeryville office/warehouse. Interviews given on rolling basis as applications come in.
